Information You Provide Directly
- Event Registration: Full name, email address, phone number, mailing address, shirt size, skill level, last event attended, and notes.
- Payment Information: Card details are processed by our third-party payment processor (Stripe). Fireside does not store full card numbers on our servers.
- Waivers and Releases: Information collected on signed liability waivers, including emergency contact, medical conditions, allergies, current medications, and health insurance details (when provided).
- Communications: Content of emails, text messages, and form submissions you send us.
- Voluntary Surveys: Feedback and responses you provide after events.
Information Collected Automatically
- Device and Usage Data: IP address, browser type, operating system, device identifiers, referring URLs, pages viewed, and time spent on pages.

- Analytics: Aggregated usage statistics from Vercel Analytics, Google Analytics (if enabled), or similar tools.
Information Collected at Events
- Photographs and Video: Event organizers, volunteers, or contracted media may photograph or record video at Fireside events for documentation, marketing, and community-building purposes. By attending and unless you check the photo opt-out on your waiver, you grant Fireside the rights described in Section 6.
- Sign-In Sheets and Range Records: Names, signatures, and equipment information may be recorded for safety, insurance, and venue compliance purposes.
2. How We Use Your Information
We use the information we collect for the following purposes:
- Process event registrations, payments, and refunds.
- Send confirmation emails and SMS messages, event reminders, post-event follow-ups, and ongoing brotherhood communications.
- Respond to questions, requests for support, and feedback.
- Provide medical and safety support at events.
- Operate and improve the Site, our events, and our programs.
- Detect, investigate, and prevent fraud, abuse, or harm.
- Comply with legal obligations and enforce our Terms of Service.
- Create photo and video content for marketing, website use, and brotherhood communications.

- Service Providers: Companies that help us operate, including our CRM (GoHighLevel), payment processor (Stripe), website host (Vercel), email and SMS delivery providers, and event venue (Okeechobee Shooting Sports). - Legal Compliance: If required by law, subpoena, court order, or other legal process, or to protect the rights, property, or safety of Fireside, our brothers, or others.
- Emergency Response: Medical or emergency personnel responding to an injury or illness at an event.
- Business Transfers: If Fireside is involved in a merger, acquisition, asset sale, or wind-down, your information may be transferred as part of that transaction.
- With Your Consent: For any other purpose disclosed to you when you provide the information, with your permission.
4. Data Retention
We retain personal information for as long as needed to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements. Event registration and waiver records are typically retained for a minimum of seven (7) years for liability and tax purposes. Communications records are retained for the duration of your relationship with the brotherhood plus three (3) years. You may request earlier deletion as described in Section 7, subject to legal retention requirements.
5. Security
We use commercially reasonable administrative, technical, and physical safeguards to protect your information. No method of transmission over the internet or electronic storage is completely secure, however, and we cannot guarantee absolute security. You are responsible for keeping the device and account credentials you use to access our Site and communications confidential.
6. Photography and Media
By attending a Fireside event, you understand that photographs and video may be taken and used by Fireside in marketing materials, on our Site, on social media, in fundraising, and in event documentation, without compensation to you. You may opt out of this use by checking the photo opt-out box on your event waiver. Even if you opt out, you may still appear incidentally in group shots, and organizers will make reasonable efforts to honor your opt-out in featured content.
7. Your Rights
Depending on where you live, you may have the following rights regarding your personal information:
- Access: Request a copy of the personal information we hold about you.
- Correction: Request correction of inaccurate or incomplete information.
- Deletion: Request deletion of your personal information, subject to our legal retention requirements (Section 4).
- Opt-Out of Marketing: Reply STOP to any SMS message, click the unsubscribe link in any email, or contact us directly. Transactional and safety messages may still be sent where legally permitted.
- Withdraw Consent: Where we rely on consent, you may withdraw it at any time, without affecting the lawfulness of processing before withdrawal.

Fireside events are for men 18 years of age and older. We do not knowingly collect personal information from anyone under 18. If you believe a child under 18 has provided us with information, contact us and we will delete it promptly.
